Jobmaps has reworked how applications are retained. Instead of a single deadline, clear status-based deletion timers now apply, and employers are warned in time before an application disappears. This enforces data protection technically, without manual effort.
What changes in how applications are retained?
Jobmaps now deletes applications on status-based timers: applications in the inbox after six months, rejected or withdrawn ones after seven days, archived ones after 180 days. Hired applications are kept. Deletion runs automatically and includes documents, attachments and the message history.
Already deleted applications remain visible in the archive as an entry, but without documents, messages or contact details. This keeps it traceable that an application existed, without storing personal data longer than necessary.
How does renewal in the talent pool work?
Applications in the talent pool can now be renewed directly. Retention is capped at a maximum of 24 months from the moment a profile enters the pool. A reminder appears before expiry, so employers actively decide whether a profile stays in the pool or is deleted.
A simple renewal replaces the previous consent expiry. The recruiter keeps control over the pool, and the 24-month limit ensures no profile is stored indefinitely.
Are employers warned before deletion?
Yes. Applications due for deletion within 30 days show a warning directly on the application, in the dashboard and in the weekly email summary. This leaves enough time to move an application into the talent pool or mark it as hired if needed.
Every step in an application's lifecycle is also logged. This creates a traceable history in case data processing needs to be evidenced later.
