Event Logistics Manager

Role and responsibilities

Plan, prepare, and execute international shipments for FIFA tournaments, draws, and corporate events. Coordinate logistics requirements with internal stakeholders, host country teams, suppliers, venues, and hotels to ensure timely and efficient delivery of goods and services. Lead and oversee key logistics workstreams including international freight, customs clearance, warehousing, distribution, venue logistics, and the movement of team equipment. Prepare logistics tender documentation, support procurement processes, and evaluate supplier proposals. Coordinate warehouse operations and event shipments, including physical picking, packing, unpacking, repacking, and distribution activities in Zurich and on site. Manage shipment-related requests and troubleshoot operational challenges, including urgent and last-minute requirements. Prepare and issue international customs documentation, including invoices, packing lists, certificates of origin, and ATA carnets. Act as the primary point of contact for customs matters and support the implementation of customs procedures in collaboration with host countries and local organizing entities. Manage FIFA storage facilities both in Zurich and at events, ensuring effective inventory and material management. Monitor logistics service delivery, establish operational processes, and drive continuous improvements to ensure the highest standards of quality and efficiency. Support cross-functional projects and operational activities. Travel extensively to FIFA tournaments and events worldwide, providing on-site logistics expertise throughout event delivery.

Qualifications and Skills

  • A completed commercial apprenticeship or equivalent qualification in international freight forwarding, customs, logistics, or a related field.

  • Additional training or certifications in international trade, customs, supply chain management, or logistics operations is an advantage.

  • At least 5 years of professional experience in international freight forwarding and customs operations, including air, road, and sea freight.

  • Proven experience managing international import and export processes and customs clearance activities across multiple regions.

  • Experience within event logistics, exhibition logistics, sports events, or international fair forwarding environments.

  • Strong knowledge of customs regulations, international trade documentation, and global logistics processes.

  • A solution-oriented, proactive, and pragmatic approach combined with the ability to remain calm under pressure and adapt to changing priorities.

  • Strong organizational skills with the ability to work independently, manage multiple tasks simultaneously, and prioritize effectively.

  • Excellent stakeholder management and communication skills, with the ability to collaborate across cultures and work effectively with diverse international teams.

  • A customer-focused mindset and a willingness to go the extra mile when required.

  • Fluency in written and spoken English; proficiency in another FIFA language (French, Spanish, German, or Arabic) is considered an asset.

  • Solid Microsoft Office skills, particularly in Excel, Word, and PowerPoint.

  • A valid driving licence.

  • Willingness to travel extensively and spend extended periods on-site at tournaments and events.

  • Physical fitness and the ability to perform hands-on warehouse and event logistics activities, including packing, lifting, and material handling.
