Role and responsibilities

The receptionist is the first point of contact and ensures a seamless, premium client experience in line with five‑star hospitality standards. They provide professional, client‑focused reception and switchboard services, while efficiently handling a variety of administrative tasks. Follow the Hospitality service protocol (SOP). Serves visitors by greeting, welcoming and directing them appropriately. Taking care of guests anticipating their hospitality needs and making the experience impeccable according to our corporate standard quality. Physically welcome clients and visitors (Escort and seat clients in lounges, offer a drink, and serve). Set up and restore lounges/conference rooms + service. Maintains security and controlling access. Issuing visitor badges. Noticing and reporting suspicious activity. Organise and book meeting rooms. Support internal event and management meeting (e.g. organise, manage, and order breakfasts/lunches for meetings upon request. Handle sensitive information in a confidential manner comply with all internal regulations. Organise and book meeting rooms. Register external visitors and issue badges. Keep statistics (number of clients/visitors). Ensure that the facilities are kept clean and remedy any issues together with service providers. Coordinate with facility management or maintenance for repairs (chairs, lighting, doors, elevator, noise, ventilation, etc.). Prepare "Welcome Packs," and organize induction day

Qualifications and Skills

  • Successfully completed commercial education

  • Proven experience in hospitality/hôtellerie

  • Service-oriented, flexible, reliable, and a strong team player

  • Proven experience in intervention management

  • Around 5-7 years of working experience as Receptionist and/or Administrative Assistant

  • Fluent in German and English is a must. French/Italian would be strongly valued

  • Excellent time management skill, ability to multitask and prioritize request from various sources

  • Accurate and detail oriented

  • Very good knowledge of Microsoft Office package and proficient in the use of IT tools

  • Communicative, trustworthy presence, politeness

  • Able to work in a challenging, pressure and dynamic environment
