Facility Associate & Deputy Facility Coordinator

Role and responsibilities
Ensure the smooth operation of company facilities and infrastructure, including maintenance, energy management and safety management. Coordinate and supervise external service providers and manage maintenance and modernization projects. Support the Facility Coordinator in departmental management and fully assume deputy responsibilities in the absence of the department head. Fleet management: plan, coordinate, and oversee the vehicle fleet in accordance with internal policies and procedures. Manage the procurement of energy, materials and services, including contract management and cost optimization. Contribute to budget planning and cost center monitoring and control. Ensure legal compliance in areas such as fire safety, occupational health and safety, and mandatory inspections. Actively participate in day-to-day operations (including caretaker duties, courier services, and reception coverage) and serve as a point of contact for all company departments.

Qualifications and Skills
Completed technical or commercial vocational training, ideally supplemented by further education in Facility Management
Several years of professional experience in Facility Management, with a proven understanding of both operational and organizational processes
A natural leader who enjoys taking responsibility, motivating others, and maintaining oversight even in complex situations
Strong organizational skills, a holistic mindset and the ability to prioritize effectively in a fast-paced environment
Experience in procurement and contract management, as well as knowledge of fire safety and occupational health and safety regulations
Excellent communication and negotiation skills when interacting with internal departments, suppliers, and regulatory authorities
Proficient in Microsoft Office applications (particularly Excel); experience with SAP R/3, especially in the MM module, is an advantage
Good command of German and English; knowledge of French is considered an asset
Willingness to work outside regular business hours, including participation in a 24/7 on-call rotation, and possession of a valid Category B driver's license
