Role and responsibilities
Support the build-up and continuous improvement of the ICT PMO, including governance structures, templates, working standards, and documentation. Maintain a lean, fit-for-purpose PMO approach that supports agile, classical, and hybrid delivery models without unnecessary administrative overhead. Keep the ICT portfolio overview up to date, covering projects, POCs, demands, roadmap items, dependencies, risks, actions, and open decisions. Collect project status inputs and prepare draft management reports, dashboards, KPI overviews, meeting notes, decision logs, and follow-ups. Support demand management by documenting and structuring business and IT inputs, tracking open clarifications, and preparing decision-ready demand records. Ensure detailed requirements remain owned by the responsible business, product, IT, or delivery roles. Support roadmap transparency for ICT solutions and initiatives, including timelines, milestones, dependencies, and links to business priorities. Assist project leads and product owners with PMO-related coordination, documentation, and alignment across agile, hybrid, and classical initiatives. Prepare materials for portfolio reviews, alignment meetings, steering committees and ICT management decision forums.

Qualifications and Skills
Bachelor's degree, or equivalent education in Business Administration, Business Informatics, Information Management, Computer Science, Engineering, or a related field
A basic understanding of project management, agile working methods, or process documentation is expected
Strong organizational skills and a structured, reliable, and accurate way of working
Ability to collect, structure, and summarize information from different stakeholders without taking over their functional ownership
Analytical mindset and genuine interest in portfolio transparency, reporting, data, POCs, and AI-enabled ways of working – motivated to help shape project management for the AI age rather than replicate traditional approaches
Good communication skills and willingness to work with ICT management, project leads, product owners, and business stakeholders
Good knowledge of M365 tools; knowledge of project management tools is an advantage
Language skills: English good written and spoken; German good written and spoken; French or other languages are an advantage
First experience or internship in PMO, project coordination, ICT, business analysis, data, analytics, or digital transformation
Interest in modern, AI-supported ways of working is a strong plus – classical project management certifications (e.g. Black Belt, Scrum Master) are explicitly not required and not the profile we are looking for
