Position Overview

To support our software engineering team and management by ensuring smooth administrative operations, office coordination, and bookkeeping activities.

Main Responsibilities

Administration & Office Management

  • Processing incoming and outgoing correspondence

  • Document management and archiving

  • Contract administration and filing

  • Organisation of courier and mailing services

  • Coordination of business travel arrangements

Bookkeeping & Finance Support

  • Processing supplier invoices and expense reports using Bexio

  • Preparation of monthly overviews and support for annual budgeting

  • Coordination and communication with external fiduciary and accounting partners

HR & Coordination Support

  • Administrative support in recruitment processes

  • Coordination with external HR and payroll service providers

  • Maintenance of personnel-related documentation

Team / Beschreibung

GWC Solutions is a Swiss software company developing custom software solutions for laboratories in the life sciences sector. In addition, we operate and maintain a SaaS product for managing complex genomics workflows in the cloud.We are a small, international team working in an agile environment, valuing reliability, collaboration, and structured processes.

Qualifikationen und Fähigkeiten

Requirements

Education & Experience

  • Completed commercial education or certification in Business Administration

  • Minimum 2 years of professional experience in an administrative role

  • Experience in a software or technology company is an advantage

Languages

  • English: fluent

  • German: minimum B2 level

Skills & Competencies

  • Strong organisational and planning skills

  • High attention to detail and reliability

  • Independent, structured, and proactive working style

  • Strong communication skills and ability to work in a team

  • Confident handling of large spreadsheets and structured data

IT Skills

  • MS Excel, Word

  • Accounting software (Bexio or similar)

  • Project management tools (e.g. Asana)

  • Knowledge of SaaS environments is an advantage

  • GitHub knowledge is a plus
